Policy

Lesson

Any lesson cancellation must be made 24 hours ahead of time, unless it is an emergency, to avoid any late cancellation charge. The first time a student or client makes the mistake of late cancellation they will be charged half of the lesson price, from then on the cancellation fee is the full lesson price. However, if you cancel within 2 hours prior to the lesson, and the instructor is already on the court with the equipment, the charge will be full price regardless of first time offense.

Clinic

The minimum number of players required for a clinic is 3. When there are under 3 players present for the class, coaches are not obligated to continue having the class, although in some circumstances such as the start of a new program, the coaches may continue running the class anyway.

Cancelling During The Clinic

In the case where we must cancel after the first half hour of class, due to rain or other emergencies, the remaining time of the class will be transferred into credit. For package holders, this will mean that the credit gained from the canceled class will be deducted from the next purchase of a class package. For students who buy individual classes, the credit will be deducted from the next class that is attended.

Emergencies

In the event of an emergency, such as the Covid-19 pandemic, the clinic will be canceled, in order to ensure the safety of the students as well as instructors.
If the coach who is hosting the class gets sick the day before, or wakes up in the morning of the clinic with this condition, the coach will have to cancel the class. It is important to avoid getting the students sick, as this will only lead to more lost time.
Any changes being made to the clinic schedule will be updated on the newsboard of Bay Team Tennis Academy to keep you in touch with what is going on at the Academy.

Classes are cancelled on rainy days!. The coach is responsible for calling rain – outs. He will make every effort to have class, and when in doubt, will go to the court. Usually we do not base rain outs on weather reports as they are often wrong. The coach will keep parents updated about weather conditions and will call a rain out at least 1 hour before class starts. All parents will be notified by a text that we are rained out and will be emailed about the makeup schedule.
If it starts to rain during class, the coach will need to stop class and call rain out. The coach will walk the kids to a covered place and let all of their parents know to pick up their child and where to find them. The coach will stay with all players until they are picked up.

Lesson

We do understand that traffic can be unpredictable, and cause late pick up arrivals. However, if a late pick up becomes common for each lesson, and the coach is waiting with the student for 10 minutes or longer repeatedly, the coach will start charging a fee of $1/minute, after the 5 minute mark. This is in order to make sure coaches are not spending 10 to 15 minutes of their time waiting for late pick up arrivals, the student is the coach’s responsibility until a parent comes to pick them up.

Students or students’ parents must notify the coach ahead of time for any delay for lessons starting time. This will allow him to make a rearrangement with his/her next students’ lessons time. Any miscommunication with the coach may compromise his/her next lesson.

Coach Tardiness

Depending on how late the instructor is, there will be different ways of dealing with the lost time. In most cases, the student has a flexible enough schedule to add the missed time to the end of the lesson. For example, if the instructor misses the first ten minutes of the lesson, we can, in some situations, add those ten minutes to the end of the lesson, if the student has time. It is understood if the student does not have the time to add the lost time to the end of the lesson, in which case, we can add it to the beginning or end of the next lesson. In extreme cases, students may be able to get additional compensation for the time they lost waiting for the instructor.

Scheduling Policy

Students or Student’s parents will be notified for the lesson 24 hours by email, text or call and should be confirmed the same day to avoid any time conflict with other lessons and class . We do not do any scheduling on the same day for lesson and class.

Schedule Time Changes

Most changes in lesson time will be happening at least 24 hours in advance, and will be minimal. If the instructor is going to be late, they will always let you know ahead of time.

Clinic

If a student is late to the clinic, although it is interrupting the class in session, and the instructor will have to find a way to include the student into whichever drill or exercise they’re doing. There is no penalty, however, if you show up late to the clinic, the time lost during your tardiness will not be made up for by the coaches.

Bay Team Tennis Academy is not financially responsible for any injuries taking place on the court. Although we have guidelines, we cannot control every student’s actions at the Academy, but we can control our reaction, making it fast, steady, and ensuring safety.

If a child gets hurt in the class, either on purpose or by accident and even if it seems mild, the coach will stop coaching, immediately go to the child, and find out what happened. They will try to calm them down and show concern. It’s OK to take a minute out of the class to comfort the child. All coaches will be supplied with a first aid kit. If the accident is minor, the coach will suggest that they sit down for a minute and have some water, where they can give them a band-aide or an ice pack if it would help. The coach will be sure to check on them within the next 5 minutes and invite them back to play if they have not already rejoined the class. If after 10 minutes they have still not rejoined the class, the coach offers them the option of remaining sat out for more time. If they still don’t want to rejoin, the coach will suggest to them that they be picked up earlier by their parents.

If the accident is serious, the coach should stop the entire class and call their parents or 911, immediately. The coach needs to be the one to tell the parents about this accident, and will tell the parents how their child was hurt and how he took care of it.

If a child hurts another child on purpose, the coach will sideline them for the rest of the day, or send them home, making it clear that we do not tolerate aggressive behavior. We are here to have fun and learn a great sport! We will call their parents and the student will get one more chance to correct their behavior before being dismissed from class permanently.  We realize accidents can happen, and accidents are entirely different from aggressive behavior.

Zero Drug and Alcohol Tolerance

At Bay Team Tennis Academy we do not tolerate students, parents, or instructors coming to the program under the influence of alcohol or drugs. These are mind altering substances which impair judgement, stir emotions, and cause you to lose control of your motor skills. If any students, instructors, or parents come to a clinic or lesson under the influence of alcohol or drugs, please let us know and we will confront them, ask them to leave, and talk about the situation with them at a later time. If we see any of this behavior or activity directly, we will be asking the offender to leave, and discuss with them later the actions we will have to take.

Please make sure to agree with our payment policy before signing up to our program!

We accept cheques, cash, and online payment through: bank accounts, credit and debit cards, Paypal, Zelle, Venmo, Google Pay, Facebook Pay and Apple Pay.
Payment for lessons and classes must be paid before, or on the court, at the time of the class. The 4 pack must be used within 2 months of purchase, the 8 pack 4 months of purchase, and the 12 pack should be used within 6 months of purchase.
If a student gets injured after purchasing one of the packages, and this takes them away from tennis for an extensive amount of time, the deadline will be extended.
Students or parents must communicate with us when they need to take time off for a trip for example or for some other reasons after booking lessons and should notify us when back in town to avoid any misunderstanding. The same applies for the instructor if they are going to be away for a period of time.

Refund Policy

Students must use all lessons and classes packages before leaving our program. We do not issue a refund, payment received is to pay for equipment purchases and court rentals. Any students who have already joined our program and wish to leave without completing their package, will be in violation of our policy, and we reserve the right to not issue them any refund.
Only in extreme cases will we provide a refund, such as a student being injured and taken out of the game for months, and deciding to withdraw from the program as a result from the injury. These situations will have to be taken case by case, as there are so many factors, a standard is not possible.
